2020-11#09 – Voting for Resolution J6) – Digitization Database to be created

This is an official proposal for the FISTF Board of Directors from Mr. Luis Horta.
Attached you will find a proposal for the FISTF Digitization (New central database and central (application) with detailed guidelines.
It is absolutely necessary to create a functioning database, as the administration work is getting bigger and can not be handled by one person no more.

It concerns:

1. The General Secretary. Member registrations and much more
2. The Treasurer. Invoices.
3. The Sports Director. FISTF Event Calendar.
4. Operational Secretary. Databese. World Ranking online
5. Registration for events (Tournaments)
6. Statistics
7. Website and online data
8. Digitization shall be a tool that is working and must be sustainable over the next 20-25 years.
9. Costs.FISTF needs to budget additional costs of minimum 60,00 to 250,00 Euro per year. Budget of 250,00 Euro is not a detailed budget.
10. The MNAs can support FISTF with a digi-fee of 25,00 Euro per year.
    • 20 Members each 25,00 Euro are 500,00 Euro per year to guarantee the system.
11. Alternative to re-install the Membership fee and use the value for main investements.
12. All FISTF forms must be transferred into Excel sheets to add to the database speedy.
13. Data can be exported and offered to the MNAs only. GDPA must be taken in consideration.
14. Mr Luis Horta shall warrant the functioning of the system and its maintenance. He must also warrant that 2 persons (IT programmers) will be trained (introduced) to handle the system at any time. Sustainable maintenance.
15. A proper handbook manual will be written to, on what to do in maintenance of the database.
    Maintenance of a Linux server and built from scratch.
    Installation of security system. Managing hacking. Bugs fixing.
    Oracle / Apex programming.  Back-up and restore system.
    FISTF host company is YULPA for our website (www.fistf.com) 
    Apex service could be the solution.

Discussion about the need for FISTF to be brought into the 21st century with more digital transfer of data. A working group is examining this already.

The discussion was about how it would be maintained and the need for a proper thought about the sustainability of the system. Also the cost.

IT-Manager Roger Trouillard commented that he was keen to support this but could not manage it  and maintenance of the system would be best served by having it on a shared server, not a dedicated server. This would ensure proper maintenance and support. This was agreed.
It was also agreed that Luis must ensure complete export capability of the system so that all data can be exported if needed to a reliable format such as CSV..
It was also agreed that members would ask among their players if anyone could assist in those projects.
